Who is responsible

Kairo (operated by Marcelo Xavier Gomes) is the controller of the data described here. Contact: contato@kairocoach.com.br.

Waitlist data

• Name, email, role, company and your note on how you would use Kairo.
• The language of the page where you signed up.
• Technical access logs kept by the server, such as IP address and date and time, for security and abuse prevention.

Product data (for people who get access)

• Account data: name, email and password (stored only as a hash).
• Audio and transcripts of the meetings you record or import.
• Tasks, commitments and deadlines extracted from meetings or created by you.
• People mentioned in meetings and context about them, and documents you upload to the knowledge base.
• Messages exchanged with Kairo on Telegram.
• Access tokens for the integrations you connect, stored encrypted.

What we use it for

• Waitlist: evaluate your access request and send the invite.
• Product: transcribe, organize, remember and alert — that is, make Kairo work for you.
• Security and support: keep the service running and answer your requests.

We don't sell your data and don't use it for advertising. Legal basis: your consent (waitlist) and performance of the service you requested (product).

Who processes the data

• Oracle Cloud — server and database, in the United States.
• Groq — AI processing of transcripts (transcription and analysis).
• OpenAI and Anthropic — optionally, when configured as AI providers.
• Resend — sending emails, such as the invite.
• Telegram — when you connect Kairo to Telegram.

These providers process data on our behalf and under their own terms. Some of them are outside Brazil, which means an international data transfer under the LGPD.

How long we keep it

• Waitlist: while the waitlist is active or until you ask for deletion.
• Product: while your account exists. When you delete your account or ask for deletion, we delete the data; backups are overwritten in the normal backup cycle.

Your rights

You can ask for confirmation of processing, access, correction, deletion and portability of your data, learn who it was shared with, and withdraw consent. Just write to contato@kairocoach.com.br. You may also contact Brazil's National Data Protection Authority (ANPD).

Security

Traffic uses HTTPS, integration tokens are encrypted and server access is restricted. No system is infallible; if an incident affects you, we will let you know.

Cookies and storage

The public site uses no advertising or tracking cookies. The app keeps your login session in the browser's local storage.

Changes to this policy

If this policy changes, the date at the top is updated. Relevant changes will be communicated to account holders.
